Privacy statement

Unit4 N.V. and its affiliated companies (“Unit4”) are committed to protecting the privacy of individuals who visit Unit4 web sites and individuals who use the Unit4’s software and services. 

This Privacy Statement describes Unit4's privacy practices in relation to the use of Unit4’s career website. Visitors of this website can create a personal account, where they can apply for jobs at Unit4, track their applications and receive job alerts based on their job preferences. 

Unit4 processes our visitor’s data with due care, in accordance with all applicable laws and regulations. Our privacy policy explains what data we process, how we do that and how you may object to the processing of your personal data. This privacy policy may be updated from time to time. 

    1. When does this privacy policy apply?

    This privacy policy applies to all personal data that Unit4 processes through Unit4’s career website. 

    2. Who processes your personal data?

    Unit4 N.V., Stationspark 1000, Sliedrecht (contact address: P.O. Box 5005, 3528 BJ Utrecht, the Netherlands), as well as its affiliated companies.

    3. What personal data do we process?

    3.1 We collect the following categories of personal information from Unit4’s career website and from candidates’ job applications:

    3.1.1 Candidate contact information such as name, email address, mailing address, phone number, employment history.

    3.1.2 Candidate related documents such as cv/resume, video application (recorded by the candidate during the application stage - when applicable) and cover letter.

    3.1.3 Demographic information of candidates such as age, education, gender, interests, postal code, veteran status, union affiliation, and financial background check results (if applicable).

    3.1.4 Email addresses, names, and contact information of visitors who register on Unit4’s Career Website.

    3.1.5 Identifiers such as user name, account number, password, IP addresses.

    3.1.6 We may also collect from you, personal information about your references such as email addresses and phone numbers. When you provide us with personal information about your contacts we will only use this information for the specific reason for which it is provided. If you believe that one of your contacts has provided us with your personal information and you would like to request that it be removed from our database, please contact us. 

    3.1.7 Candidates are solely responsible for maintaining the confidentiality and security of their user registration and password.

    3.2 Cookies

    3.2.1 We use various technologies to collect and store information when you visit a Unit4 website, including cookies. Cookies allow us to calculate the aggregate number of people visiting our websites and monitor the use of the websites. This helps us to improve our websites and better serve our users. We also use cookies that make the use of the website easier for you, for example by remembering usernames, passwords and (language) preferences. Cookies do not allow us to gather any personal data about you and we do not intentionally store any personal data that your browser provides to us by your cookies. We also use tracking and analytics cookies to see how well our services are being received by our users. For more information about cookies and how to manage them, we refer to our Cookie Policy.

    3.3 Mobile Phone

    3.3.1 We may provide features that rely on the use of additional information on your mobile device or require access to certain services. Granting us access does not mean that we have unlimited access to that information nor access to specific information without your consent. If permission is granted, we will collect the information for the specific means explained when requesting the authorization.

    Specifically:

    3.3.1.1 Pictures and camera: We will not access your pictures nor your camera without first getting your explicit permission and we will never scan or import your photo library or camera roll. If you give explicit permission to access photos or camera, we will only use images that you specifically choose to interact with the provided services.

    3.3.1.2 Location: We will not collect or use the location of your mobile device without first getting your explicit permission. Location is only employed to provide the required services.

    3.3.1.3 Contacts: We will not scan or import your contacts stored on your phone without first getting your explicit permission. Only if required for the services we will, with your explicit permission, Unit4 will have access to information that’s stored on your mobile device.

    4. Using your personal information - purposes and use

    4.1 We use the personal information collected from candidates only for the following purposes:

    4.1.1 Recruitment processes and hiring decisions

    4.1.2 Providing a service to candidates

    4.1.3 Keep records of candidate activity

    4.1.4 Keep records of candidate information

    5. Sharing

    Unit4 will not simply pass your personal data to individuals or other organizations. Unit4 will only do so if this is compatible with the purpose for which the data was collected. Unit4 will also only do this if there are the following grounds:

    5.1 With your explicit consent. We may share your personal data with third parties outside Unit4 when we have your explicit consent to do so;

    5.2 For legal reasons/obligations. We may share your personal data with third parties outside Unit4 if we have a good-faith belief that access to and use of the personal data is reasonably necessary to:

    5.2.1 meet any applicable law, regulation, and/or court order;

    5.2.2 detect, prevent, or otherwise address fraud, security or technical is-sues; and/or

    5.2.3 protect the interests, properties or safety of Unit4, our users or the public as far as in accordance with the law.

    5.3 Vital interest of the person concerned;

    5.4 Performing a public law task;

    5.5 Legitimate interest of Unit4;

    5.6 We may share aggregated, non-personally identifiable data with our partners, like   advertisers, or the public. For example, we may share information publicly to show trends about the general use of our services.

    5.7 If Unit4 is involved in a merger, acquisition or asset sale, we will continue to ensure the confidentiality of all personal data. We will give notice to all customers concerned be-fore the personal data are transferred or become subject to a different privacy policy.

    6. Storage period

    6.1 Unit4 does not store your personal data longer than is legally permitted and necessary for the purposes for which the data were collected. Candidate’s personal data will be automatically removed one month after it has been submitted, unless candidates have given consent for their data to be stored for maximum one year. 

    6.2 Candidates who have given consent for their data to be stored by Unit4 for 1 year can  opt-out by sending an email to [email protected] during this period. After one year the data will be automatically deleted unless candidates will renew their permission to store their data for another year.

    7. Data subjects right

    7.1 The right to request from Unit4 access to your personal data;

    7.1.1 Unit4 offers you, if you are the Data Subject, access to the personal data we process. This means you can contact us asking us to inform you about your personal data that we have collected and processed and the purposes such data are used for. You may request such access by sending an email to [email protected]

    7.2 The right to request from Unit4 rectification and/or erasure of your personal data 

    7.2.1 If you believe we are holding inaccurate personal data, please contact us so we can correct the data. You can contact us by sending an email to [email protected]

    7.2.2 You may also ask us to delete your personal data from our systems. We will comply with such request unless we have a legitimate ground to not delete the data. 

    7.3 The right to object

    7.3.1 You may object to certain use of your personal data if such data are processed for other purposes than necessary for the performance of our services or for compliance with a legal obligation. 

    7.3.2 You may also object any further processing of your personal data after prior given consent.

    7.3.3 You can object to the processing of your personal data by sending an email to [email protected]

    7.3.4 If you object to the further processing of your personal data, this may lead to fewer possibilities to use our websites and other services.

    7.4 The right to data portability

    7.4.1 A Data Subject has the right to recover his / her personal data that he / she has provided to a data controller or to take it to another data controller. Unit4 will provide these data on a common format.

    7.4.2 The right to request from Unit4 the restriction of the processing concerning you;

    7.4.3 The right to withdraw your consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal;

    7.4.4 The right to lodge a complaint with the supervisory authority

    7.4.5 The above rights do not apply if there is a compelling, justified reason to process the data intact.

    8. Information security

    8.1 We take all reasonable, appropriate security measures to protect Unit4 and our customers from unauthorised access to or unauthorised alteration, disclosure or destruction of personal data we hold. Generic information can be found at our Data Protection Policy.

    8.2 Should despite of the security measures, a security breach occur that is likely to have negative effects to your privacy, we will inform you about the breach as soon as reasonably possible. Unit4 maintains a Data Breach protocol for this purpose.

    9. Use of Google Analytics

    9.1 This website uses Google Analytics, a web analytics service provided by Google, Inc. ("Google"). Google Analytics uses "cookies", which are text files placed on your computer, to help the website analyze how users use the site. The information generated by the cookie about your use of the website (including your IP address) will be transmitted to and stored by Google on servers in the United States. Google will use this information for the purpose of evaluating your use of the website, compiling reports on website activity for website operators and providing other services relating to website activity and internet usage. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google’s behalf. Google will not associate your IP address with any other data held by Google. You may refuse the use of cookies by selecting the appropriate settings on your browser, however please note that if you do this you may not be able to use the full functionality of this website.

    9.2 Additionally, you can use this plugin: http://tools.google.com/dlpage/gaoptout?hl=en Google has developed the Google Analytics Opt-out Browser Add-on. It provides website visitors more choice on how their data is collected by Google Analytics, The add-on communicates with the Google Analytics JavaScript (ga.js) to indicate that information about the website visit should not be sent to Google Analytics.

    10.1 You may request questions concerning the processing of your personal data, as mentioned under 7, by sending a letter or e-mail, including your name, address, phone number and a copy of a valid ID to Unit4 N.V., Corporate Legal Department, P.O. Box 5005, 3528 BJ Utrecht, the Netherlands or [email protected]. You will receive a response in writing within 4 weeks.
     

    If you request access to personal data in a cookie, you will have to enclose a copy of the said cookie.

    10.2 When you visit our website, you may opt-out of ongoing marketing communications by unsubscribing for this. Unit4 subscription center is available to update your preference or unsubscribe.

    11. Complaints

    If you have a complaint about the processing of your personal data by Unit4, please contact our Data Protection Officer using the contact details above to submit your complaint. As a data subject you also have the right to file a complaint with the supervisory authority.
